Rental Terms
All vehicle rentals come with a comprehensive Rental Agreement that will be provided upon booking confirmation or at the time of vehicle pick-up. This document outlines the specific terms, conditions, insurance coverage, applicable charges, and your obligations related to the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle with us requires:
- To hire a vehicle from Ewell Car Hire, drivers must be a minimum of 21 years old. Age restrictions may differ based on the type of vehicle, and additional fees may apply for those under 25. A valid driving licence appropriate for the vehicle category is required, along with proof of identity and current address. Valid payment information and a security deposit must also be provided. Any further requirements will be outlined in the Rental Agreement.
Booking and Payment Process
- Reservations can be made via our website, by telephone, or directly at our Ewell office. A deposit may be necessary to confirm your booking. Full payment and a security deposit are generally required at the time of vehicle pickup. All charges are listed in British Pounds (£) and include VAT when applicable. We accept major credit and debit cards, processed securely through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is important to conduct a comprehensive inspection and report any pre-existing damage without delay. A vehicle condition report will be created and signed by both parties. Upon return, the vehicle should be in the same condition as when it was collected, allowing only for standard wear and tear. Any new damage will be evaluated and may incur additional charges. Please return the vehicle with the same amount of fuel as received; refueling fees will apply if the level is lower. Late returns could result in extra charges, so please notify us as soon as possible if you expect to return the vehicle late. You will be accountable for any parking fines, traffic violations, or other charges that arise during the rental, along with an administrative fee.
Insurance and Liability Details
- All rentals include basic third-party insurance. Comprehensive coverage specifics and excess amounts are detailed in the Rental Agreement. Additional insurance options may be available to minimize your financial liability. It is advisable to review these options thoroughly. You remain liable for any damage or loss up to the insurance excess, unless you opt for extra coverage. Damage resulting from negligence or misuse remains your responsibility, regardless of insurance.
Cancellation and Modifications
Cancellation and amendment policies depend on the type of booking and the notice provided. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show up could incur additional charges.
Prohibited Activities
Prohibited Uses of Rental Vehicle
- Use of the vehicle for illegal activities or purposes is strictly prohibited. This includes racing, rallying, off-roading, or any other dangerous driving. Transporting hazardous materials, sub-letting to others, or permitting unauthorized drivers is not allowed. Driving under the influence of alcohol or drugs, exceeding weight or passenger limits, and operating outside of designated areas without prior approval are also violations.
Breach of these terms may lead to rental termination and extra fees.
8. Liability Limitations
To the fullest extent allowed by English and Welsh law, Car Hire Ewell is not responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claims will not exceed the rental amount paid in the previous 12 months. This limitation does not affect liability for death or personal injury due to negligence, or for fraudulent actions.
9. Applicable Law
These Terms are regulated by the laws of England and Wales. Any disputes will fall under the exclusive jurisdiction of the courts in this region.

We reserve the right to update these Terms at any time. Changes take effect immediately upon their publication on our website. Continued use of our services indicates your acceptance of the revised Terms.
